Registration Committee

Committee Head:

Scope of Responsibilities:

1. Finalize the list of Color Teams: the names of students under each color team. Old students & their families will belong to the same color team as last schoolyear. New students however, will have to be assigned to a color team. This will also depend on how many students have left school, to ensure equal distribution of students among teams. Please approach Ms Wilma, Registrar's Office, for the list of new students & coordinate with her regarding distribution of these new students equally among the color teams.

Color Teams:

Orange
Green
Red
Yellow
Violet

2. Construct the Official Registration List, by Color Team -- come up with a new print-out. Ex. One list for Red Color Team only. Another separate list for each of the other Color Teams. Place several columns: Student Name, Father's Signature, Mother's Signature, How many guests / relatives have come with them (including siblings, yayas, etc.). This last column is for headcount for the Most Attended Color, a contest the Family Day Organizers may hold. If so, contest will be announced in the circular to the parents announcing the coming of the Family Day. A deadline will be set for counting of participants per color (according to the Registration Lists), maybe after the Holy Mass. The highest number of participants will receive a prize per team member. It will be announced during the Field Demonstration. The prizes will depend on the solicitations & donations brought in by the parents. Simple prizes may do: bar of soap, snack, etc.

3. Invite & confirm parents to man the Registration Tables. These parents need to be at the tables before the official opening of the gates for the families.

4. Tickets are free. The Committee Head arranges for these tickets to be available. Two years ago, a parent organizer volunteered to provide color-coded tickets to be sold. The school will not provide these tickets. Each ticket needs to be torn so that a number can be placed in a bowl which will be used for the Raffle Contest. The other half will be held by the participants to be surrendered when claiming their prize.

5. Arrange for tables to be available at the Registration Area (pergola entrance). The tables can be brought there early morning of the Family Day, February 1, 2009. These tables will be requested by signing for a Requisition Slip in January 2009. The Committee Head will have to personally request the school maintenance crew to transport these tables to the pergola on January 31, 2008 & has to be present for this.

6. Arrange for ballpens (1 or 2 per Color Team), bowls (for raffle tickets, which will be turned over by the Committee Head to the Emcee of the Program for the Raffle) & table cloths (color-coded) to be available early morning on Family Day.

Parade Committee

Committee Head:

Scope of Responsibilities:

1. Arrange for both SSC-W & Philippine flags plus the Color Team Flags to be available for the Parade. Check the state of the flags in advance (January 2009) so you have time to have them repaired / replaced in case it is needed. The flags may be brought out & placed in an accessible place the morning of the Family Day.

2. Announce the assembly of all colors for the parade. Be at the line up to arrange where the teams will stand while waiting for the parade to start. Starting point: roof between pergola and main administration building.

3. Arrange the colors according to a particular sequence.

4. Coordinate music background to begin as the parade starts.

5. Signal each color team leader to begin marching. Allow about 10 meters distance between the last person of the color team ahead and the leader of the next color team.

6. Arrange for the color team flags to be available for Family Day. If the old flags are in poor condition, arrange for new ones to be made.

7. Arrange for a partner / counterpart (parent organizer) to meet the team leaders in the gym. This partner will guide the team leaders to their places. Color teams & members will wait standing in the gym until the last color team has arrived & taken their places.

8. May assist the Games & Prizes Committee Head to choose / assign / ask for a volunteer Team Captain per Color Team during the waiting period for the Parade to start.

9. Announce to all teams: Cheering Competition will be held upon reaching the gym, right after the Parade. The Committee Head may need to go to each Color Team to announce this. Or may just request the Team Head per Color Team to announce it to his / her teammates & arrange for the cheer. Some teams arrange their cheer even before the Family Day itself. In this case, the Team Heads are informed / reminded by Family Day Organizers with the help of Ms Gerg Santos.

10. Other additional details & information to be clarified can be taken up with the overall coordinators.

Peace & Security Committee

Goals:

1. Provide security guards at the pergola entrance, to navigate traffic & to manage parking (to make sure roads are not blocked by parked cars)

2. To watch for gate-crashers (people who are not guests of students, their families or teachers)

3. To help address needs / emergencies of parent organizers / school administration / teachers with regards to the Family Day
